CopyThat Privacy Policy

The short version

No account, no sign-in, no analytics, no cloud, and nothing you capture leaves your PC. Once a day, and whenever you check by hand, CopyThat checks for updates. It sends its version number, which edition it is and how it was installed, a random install code, and a licence code we can match only to the order it was sold under, so we can see if one licence is being shared across many computers. It never sends your email, your licence key, or anything you capture. Help → Check for updates automatically turns it off. The copy from the Microsoft Store does not even do that: the Store updates it. Nothing else ever leaves the app. Your captures, artwork, embroidery files, and settings live only on your own computer. The personal information we hold about you comes from three places only: the trial form on our website, buying the product, and emailing us.

1. What the app does — and does not — collect

• Captures, images, embroidery files, OCR text, annotations, and settings are stored only on your PC, in folders you control.
• The app sends no usage data or analytics to anyone: nothing about what you capture, open or click.
• Crash logs, if any, are written only to your own disk and are never transmitted. The website edition keeps them in %LOCALAPPDATA%\CopyThat\logs. For the Microsoft Store edition, Windows may keep that folder inside the app's own package data under %LOCALAPPDATA%\Packages instead, and removes it when the app is uninstalled. If you choose to email us a log for support, that is your action.
• Once a day, and whenever you check by hand, CopyThat checks for updates. It sends its version number, which edition it is and how it was installed, a random install code, and a licence code we can match only to the order it was sold under, so we can see if one licence is being shared across many computers. It never sends your email, your licence key, or anything you capture. Help → Check for updates automatically turns it off. The install code is a random number made once on your PC, not taken from your hardware or from you. The licence code is a one-way code made from your licence key: it does not contain the key or your email, but we keep a record of which order each licence code was sold under, so we can match it to that order (a trial sends no licence code). We keep the codes with the week and the country the request came from; we do not store your IP address. Nothing in the app is ever blocked or slowed by them. With the automatic check off, nothing is sent on its own, and Help → Check for updates… sends only the version number.
• The Microsoft Store edition gets its updates from the Microsoft Store and makes no update request to copythatnow.com at all. Its Help menu offers Check for updates in the Microsoft Store…, which opens the Store's own Downloads and updates page. The Store's update checks are Microsoft's, under Microsoft's privacy statement. Everything else on this page applies to the Store edition unchanged.
• OCR, embroidery rendering, vectorizing, and every other feature run locally. Nothing you capture is uploaded anywhere by CopyThat.

2. Information we receive when you buy

Purchases are processed by our merchant of record, Stripe, Inc., through Stripe Managed Payments. They handle your payment details under their own terms and privacy policy; we never see your card number. From a purchase we receive your name, email address, and order details, which we use to deliver your license, provide support, and meet our legal obligations, for example tax records. Our transactional email is delivered by Resend, which therefore handles your email address on our behalf.

3. Sharing a capture on purpose

CopyThat has one feature that sends an image anywhere, and it stays off until you set it up yourself: hosted sharing. You supply your own upload address and access token, your own service rather than ours, and every upload asks you to confirm first. When you use it, a flattened copy of that one capture goes to the address you configured. Nothing reaches us, and nothing is uploaded unless you have configured the feature and confirmed the prompt.

4. Email

We send transactional email about your purchase and license. We send product news only if you opted in, and every such email has an unsubscribe link that works. We do not sell or rent your information to anyone.

5. The website

Our website is hosted on Netlify. Standard hosting logs, meaning IP address and pages requested, exist at the hosting layer, and we do not use them to identify you. The site runs no analytics and no advertising trackers of any kind — no Google Analytics, no tag manager, no pixels, and no cookies set by us. The two forms that collect anything are the trial form and the founding-tester sign-up, covered next.

5a. The trial form and the founding-tester sign-up

What it collects. Your name and email address, and, if you fill them in, your company name, the type of company, how many people work there, and the trade associations you belong to. If you arrived from one of our emails or links, the form also records which campaign brought you (the utm_ tags in the page address) and which of our pages you were on.

Why. To email you the download link, and to follow up with you about your trial: whether it installed, whether it is doing the job, and what CopyThat costs when the trial ends. The company details tell us which tools to show you; the campaign tag tells us which of our emails are useful.

Where it is kept. In two places: our own email inbox, where each request arrives as a message to us (that message also shows the IP address the request came from, which helps us spot abuse), and the storage service of our website host, Netlify, where each request is saved as a record we can export. Our email delivery service, Resend, handles your address to send the download email. Nobody else receives it. To limit automated sign-ups we also keep a scrambled (hashed) form of the IP address with the date, used only to count requests per day; it cannot be read back as the address itself.

No selling, no sharing. We do not sell, rent, or share what you type into the trial form with anyone, and we do not add it to anyone else's mailing list.

Deleting it. Email support@copythatnow.com and ask us to delete your trial details; we remove them from our storage and our inbox. Asking does not stop the app from working.

None of this changes the app: CopyThat itself still sends nothing you capture, and its only question to the internet is the once-a-day version check described above.

The founding-tester sign-up

What it collects. The same details as the trial form (name, email address, company name, type of company, how many people work there, associations), plus the group code you typed if a community gave you one, which round you joined, and the date your free 30-day key was issued. If a round is full, the same details go on the waitlist instead.

Why. To email your tester key and download link, to keep the round limits honest (each round has a real number of places), to send the day-20 feedback questions and a reminder before your key runs out, to send your personal founding-price link, and, if you were on the waitlist, to tell you when a place opens. We quote a tester by name or company only if they say yes when we ask.

Where it is kept. As for the trial form: our own inbox and our website host’s storage (Netlify), with Resend sending the emails. Your address is kept as written, so we can email you; a scrambled (hashed) copy is used to spot the same person signing up twice. Nobody else receives it.

Deleting it. Email support@copythatnow.com and ask us to delete your tester or waitlist details; we remove them from our storage and our inbox. Your key keeps working until its date either way.

6. How long we keep things

Order and license records are kept as long as needed to support your license and satisfy legal requirements. Support emails are kept as long as useful for helping you. Trial form details are kept while we are following up on your trial and until you ask us to delete them. Tester and waitlist details are kept while the founding-tester program runs and until you ask us to delete them.

7. Your rights

Depending on where you live (for example the EU/UK under GDPR or California under CCPA/CPRA), you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to certain processing. Because we hold so little, requests are usually simple: email support@copythatnow.com and we will act on verified requests within the time the law requires. We do not discriminate against you for exercising your rights, and we do not "sell" or "share" personal information as those terms are defined in the CCPA.

8. Children

CopyThat is a business tool and is not directed to children under 13. We do not knowingly collect information from children.

9. Changes

If this policy changes, we will post the new version with a new "last updated" date. Material changes will be noted on the website.
